Judge Recruitment & Panel Composition

Your judges make or break your program's credibility. Recruit the right experts, balance your panel, and set them up for success with clear expectations and efficient workflows.

Why Judge Selection Matters

Entrants research your judges before deciding to submit. A panel of respected industry professionals signals that your program is worth entering. Conversely, an unknown or unbalanced panel raises questions about the credibility of your winners.

Without Careful Judge Selection

  • Entrants question the legitimacy of the program
  • Judges lack expertise in specific categories
  • Scoring is inconsistent due to varied experience levels
  • Conflicts of interest undermine winner credibility

With a Well-Composed Panel

  • Program attracts higher-quality entries
  • Judges evaluate entries within their area of expertise
  • Winners carry the endorsement of respected professionals
  • Judges promote the program to their own networks

Avoid Conflicts of Interest

Never allow judges to evaluate entries from their own organization, clients, or direct competitors. Document your conflict of interest policy and share it with judges before scoring begins.

Judge Recruitment Timeline

Start recruiting judges 8 to 10 weeks before your judging period begins. High-profile professionals book up quickly, so early outreach is essential.

W-10

Identify Candidates (10 Weeks Before Judging)

Build a list of 15 to 20 potential judges, knowing you will need 5 to 9 confirmed panelists. Aim for 50% acceptance rate.

Where to find judges:
  • • Industry conference speakers and thought leaders
  • • Past winners from your program or others
  • • Senior professionals in your membership base
  • • Academic experts in relevant fields
W-8

Send Outreach (8 Weeks Before Judging)

Send personalized invitations. Include the program overview, time commitment, judging dates, and what they receive in return (recognition, networking, visibility).

W-6

Confirm Panel (6 Weeks Before Judging)

Follow up with non-responders and confirm your final panel. Send each confirmed judge a welcome packet with program details and scoring criteria.

Always recruit 1 to 2 backup judges in case someone drops out. It happens more often than you think.
W-2

Pre-Judging Briefing (2 Weeks Before)

Host a 30-minute briefing call or send a detailed guide. Walk through the scoring platform, calibrate on criteria expectations, and answer questions.
