Program Import

Start a program from your award website, entry pack PDF, or a pasted call for entries. AwardKit drafts categories, fees, dates, judging criteria, questions, and awards for you to review.

If your program already exists somewhere (a website, an entry pack, a brochure, last year's email), you do not have to rebuild it by hand. Give AwardKit the source and it drafts the whole program for you to review before anything is created.

Where to find it

Import is the first thing you see on the Set up your program step when creating a program, under Fastest way to start: import your program. Pick a source:

  • Award website: paste the address of your program page (https://yourawards.org). AwardKit reads the page and the pages it links to (categories, fees, key dates, rules).
  • Entry pack PDF: drop or upload your entry pack, call for entries, or rules document. Up to 12MB and 100 pages.
  • Paste text: paste the text of your call for entries ("Copy it from your website, brochure, or email, or just describe your program in your own words").

What gets drafted

From the source, AwardKit fills in:

  • Categories, with descriptions and groups where the source has them
  • Entry fees, including early-bird and late periods and member versus non-member prices where they are published
  • Key dates: entries open and close, judging, results, and the program timezone
  • Judging criteria and weights
  • Entry form questions
  • Awards and prizes
  • Branding: your logo and brand color where the site makes them obvious

Whatever the source does not mention stays empty for you to fill in. Nothing is invented.

The review screen

Before the program exists you land on a review console with one tab per part of the program: Overview, Schedule, Categories, Entry fees, Judging, Awards, and Entry form.

Everything on every tab is editable. A few things to check:

  • Schedule: dates found on a past edition are flagged ("The source says entries are closed, so the dates may be from a previous edition. Update them for your next cycle."). Roll them forward to this cycle.
  • Entry fees: confirm the standard price, any pricing periods, and member pricing. Where the source lists a price per audience, it is mapped to entrant types.
  • Entry form: the questions found in the source sit alongside the standard fields (entrant details, entry name, summary, categories, attachments).

Click Looks good, create program when it reads right. The program is created in Test mode, and sample entries, judges, and scores are written in the background so every page has something in it. See Test mode and going live.

Filling gaps from a second source

If one source misses something, add another. On the review screen, open the import panel again and give AwardKit the entry pack after the website (or the other way round). The second pass fills only the empty fields; anything you already edited stays exactly as you left it. Where the second source disagrees with a value you have not touched, both are shown so you can choose Use found value or keep what is there.

After import

The drafted program behaves like any other: edit categories and fees under Categories, refine the questions under Entrant pages > Entry page, tune criteria under Judging, and set the final dates on the Overview. The setup checklist tracks what is left before you go live.

Import works even if this is your first year running the program. A rough description pasted as text is enough to get a structured draft you can shape from there.
