Managing Entries

View, search, filter, and export award program entries on AwardKit. Entry table, detail panel, payment status, and CSV export.

Once entrants start submitting, the Entries tab becomes your operational dashboard for the program.

Entries table

The main table shows all submitted entries.

For each entry, you can see:

  • Entry: Entry title
  • Team: Entrants and team members with avatar initials
  • Categories: Which category the entry was submitted to, plus any overall categories it's automatically eligible for
  • Payment: Payment status if your program charges entry fees (Paid, Pending payment, Refunded, Failed)
  • Amount: Entry fee paid (with discount codes applied)
  • Submitted: When the entry was submitted

The header shows your total count (for example "13 entries · 50 entrants").

Searching and filtering

  • Search bar: Find entries by entry title or entrant name
  • Category filter: Click the Category button to show only entries in a specific category

Entry detail panel

Click any entry row to open the detail panel on the right side.

The panel shows:

  • Entry description with "Show more" for longer descriptions
  • Custom field responses with auto-embeds for URL fields (YouTube and Loom videos play inline, Twitter/X posts render in-place)
  • Category badge showing where the entry was submitted
  • Award badges (after results are published) showing what the entry won
  • Team members with names, emails, and Lead designation
  • Payment details including the fee paid, pricing tier active at submit time, and any discount code used
  • Manage entry link to open the full entrant-facing manage page
  • Delete entry to permanently remove it (use with care after entries have been judged)

Adding entries manually

Click Add entry to create an entry on behalf of an entrant. Useful for:

  • Late entries that missed the deadline but you've decided to accept
  • Migrating entries from a previous program tool
  • Testing your entry form
  • Programs where the organizer collects entries through a separate channel and uploads them

Manually added entries don't trigger an entry fee charge: you're already accepting the entry. To collect a fee for a manually added entry, send the entrant a Stripe payment link from the Stripe Dashboard.

For more than a handful of rows, use Import to load up to 1,000 entries from a CSV file at once. See CSV Import.

Exporting data

Click Export CSV to download all entry data. The export includes:

  • Entry titles and descriptions
  • Custom question responses
  • Entrant and team member names and emails
  • Category assignments
  • Submission timestamps
  • Payment data (fee paid, status, pricing tier, discount code) if your program charges fees
  • Judging data (judge scores, criterion-level scores, written feedback) once judging is complete

CSV exports are great for sponsor reports, finalist announcements, and archival. Import into Excel or Google Sheets for custom analysis. Round-trip through CSV is supported: export, edit, re-import.

Refunding entry fees

To refund an entry fee, go to the Stripe Dashboard for your connected account, find the payment, and refund it from there. AwardKit picks up the refund automatically and marks the entry as Refunded in the Entries table within seconds.

If you delete an entry, the linked payment is not automatically refunded. Refund first in Stripe, then delete in AwardKit if needed.

Payment statuses

If a chargeback (dispute) is opened against a charge, handle it in the Stripe Dashboard. AwardKit's payment status doesn't surface a separate dispute state today; once you resolve the dispute, Stripe's outcome syncs back to AwardKit (Refunded if you lose, Paid stays if you win).
